Notellis (“Notellis,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy describes the types of Personal Information we may collect when you use our website at notellis.com, our web application, Chrome browser extension, and any related software, tools, and services (collectively, the “Service”). It also describes our practices for collecting, using, maintaining, protecting, and disclosing that information.

Information You Provide
When you register for or use the Service, we may collect the following:
- Name and email address (via Google Sign-In or other authentication)
- Account preferences, including summary style selections (Professional, Student, Church, Sales, Executive, Creative)
- Audio recordings you create or upload through the Service
- Any edits you make to summaries, key points, action items, or other generated content
- Pinned items and action items you save
- Payment and billing information when you subscribe to a paid plan (processed by our third-party payment provider)
- Any information you provide when contacting us for support
Information Collected Automatically
When you use the Service, we may automatically collect:
- Usage Data, including pages visited, features used, session duration, and interactions within the Service
- Device information, including browser type, operating system, device type, and IP address
- Cookies and similar tracking technologies to maintain your session and improve the Service
Audio and Transcript Data
The Service records audio from your meetings, lectures, sermons, or other sessions (with your initiation) and processes this audio to generate transcripts and AI-powered summaries. This audio and transcript data is stored securely and is associated with your account.
We do not use your audio, transcripts, or summaries to train or improve any AI models. Our third-party AI and transcription providers are not permitted to use your Content for their own model training or improvement purposes.
How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service, including generating transcripts, AI summaries, and delivering them to your inbox
- Process and manage your account, subscriptions, and payments
- Send you summary emails, notifications, and account-related communications
- Improve and optimize the Service, including analyzing usage patterns and feature adoption
- Respond to your support requests and communications
- Comply with legal obligations and enforce our Terms of Service
We do not sell your Personal Information to third parties. We do not use your Content to train AI models.
Chrome Browser Extension
If you use the Notellis Chrome extension, the extension may:
- Access audio from your browser tabs with your permission to enable meeting recording
- Interact with the Notellis web application to sync recordings and summaries
- Collect usage data related to extension functionality
The extension does not collect browsing history, keystrokes, or any data unrelated to the recording functionality you initiate. All data collected through the extension is subject to this Privacy Policy.
Google API Services
If the Service accesses Google APIs on your behalf, our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google API data is not used to develop, improve, or train generalized AI or ML models.
Data Security
We implement appropriate technical and organizational security measures to protect your Personal Information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption in transit and at rest, access controls, and regular security reviews.
However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your Personal Information, we cannot guarantee its absolute security.
Data Retention
We retain your Personal Information and Content for as long as your account is active or as needed to provide the Service. Specifically:
- Account information is retained until you delete your account
- Recordings, transcripts, and summaries are retained until you delete them or your account is terminated
- Payment records are retained as required by law and for billing dispute resolution
- Usage data may be retained in anonymized or aggregated form for analytics purposes
Upon account deletion, we will delete or anonymize your Personal Information within 30 days, except where retention is required by law.
